Organising a networking event: a guest file that works for you
For a recurring professional meeting (business club, breakfast, networking evening), Carton Blanc keeps the guest file from one event to the next, reminds non-responders and checks attendees in.
A networking event lives on regularity. Thursday's business club, the quarterly breakfast or the alumni's annual evening only matter if the same people come back and new ones join. The guest file is the organiser's asset, and it is quickly lost in spreadsheets.
Carton Blanc keeps that file, sets aside those who no longer want to be invited, and gives you for each event who registered, who attended and who was absent. Each organiser has their own space, kept separate from the others by the database itself.
How Carton Blanc handles this event
- Invitations
- You invite from a list, with a restrained flyer and a text written for your network. Duplicates are merged and unsubscribed people are left out.
- Registration
- Each participant registers on the event page, with their company and country if you ask. The confirmation goes out straight away.
- Waiting list
- Once capacity is reached, later registrations go on a waiting list. A room that shows as full adds value to the next date.
- Reminders
- The D-14 reminder goes only to guests who have not replied. The day before, a reminder gives the address and the calendar link.
- Check-in
- On site, the welcome desk checks arrivals off on a phone. The next day you know who came, who registered without coming and who did not reply.
The recommended mailing calendar
For a recurring meeting, regularity beats precision: it is better to always send at the same intervals. The default calendar suits; adjust it once and keep it from one event to the next.
D-42 · Six weeks before
The announcement of the date and the theme, with the flyer.
D-28 · Four weeks before
The invitation: speaker, venue, programme and registration link.
D-14 · Two weeks before
The reminder, sent only to members who have not replied.
D-1 · The day before
The reminder to registered guests: address, time and calendar link.
D+2 · Two days after
The follow-up message, with the date of the next meeting.
Organiser's tips
- Fix the next four meeting dates at once. A year's calendar announced ahead wins registrations: participants block the dates before their diaries fill.
- Make room for newcomers. Reserve part of the capacity for guests who come for the first time. A meeting that does not renew itself ends up among regulars.
- Respect the choice to unsubscribe. Each email contains an unsubscribe link, applied to all your mailings. A clean file is more reliable than a long one.
- Send the follow-up message to everyone. Those who came receive thanks, those who did not receive a catch-up date. This is the moment loyalty is decided.
Frequently asked questions
- Does Carton Blanc keep my guest file from one event to the next?
- Yes. The file stays in your account, hosted in the European Union. You can export it to Excel at any time.
- What happens to a person who unsubscribes?
- They receive no further mailing from the organiser. Each email contains an unsubscribe link that takes effect immediately.
- How does check-in work?
- The list opens on a phone at the welcome desk. Each arrival is checked off, and you then get the list of those present and absent.
- Is the subscription or the single event better?
- For one meeting a month, the single event costs less than the monthly subscription; the subscription becomes cheaper from three events a month. Prices are at the bottom of the page.
The flyer for this event
Flyers with a colour block at the top and a speaker list suit professional meetings. They are created free of charge in your account, in French or English.

What Carton Blanc does not do
Carton Blanc is not a ticketing tool: it takes no ticket payments and sells nothing to guests. No email is sent without the organiser's approval. There is no advertising, no resale of data and no free plan.
Create an account from €49
Carton Blanc costs €99 incl. VAT a month (€82.50 excl. VAT) with no commitment, or €990 incl. VAT a year (€825 excl. VAT). A single event costs €49 incl. VAT (€40.83 excl. VAT), paid once: its emails and page stay open until 30 days after its date.
